Email Communications

All email communications from Fieldway are sent directly by Matthew Stublefield via Proton Mail (Proton AG, Switzerland) from @fieldway.org addresses. We do not use email automation services, mailing lists, or third-party email delivery platforms.

When you submit our contact form, your message is delivered directly to our Proton Mail inbox. Any replies come directly from us — there are no automated sequences, drip campaigns, or marketing emails.

We use AI tools (Anthropic Claude) to assist with email drafting, contact management, and relationship insights. Your email communications may be processed by these tools to help us maintain better business relationships. All AI-assisted drafts are reviewed by Matthew Stublefield before sending — no emails are sent automatically by AI.

Video Message Storage and Delivery

For video messages sent to clients and prospects, we use Cap.so (Cap Software, Inc.) for recording and delivery:

What Cap.so Does:

  • Provides the recording interface and video player
  • Generates secure viewing links at message.fieldway.org
  • May process videos for transcription, captions, and chapter generation
  • Tracks basic analytics (views, watch time) to help us understand engagement

Where Your Videos Are Stored:

  • All video files are stored on our own Cloudflare R2 storage infrastructure
  • Videos are NOT stored on Cap.so's servers
  • Videos are NOT analyzed, data-mined, or used for training AI models by third parties
  • We maintain full ownership and control of video content

Video Privacy and Access:

  • Videos are accessible only through unique, secure links
  • Links are not publicly listed or discoverable
  • You control who receives your video link
  • Videos are not indexed by search engines
  • We may analyze aggregate viewing data (number of views, completion rates) to improve our service

Video Retention:

  • Videos related to consulting engagements are retained as long as necessary to provide the service
  • Marketing and sales videos may be retained indefinitely
  • You may request deletion of videos at any time by contacting privacy@fieldway.org

Third-Party Services:

Custom AI Tools

Some of our products include access to custom AI tools (AI assistants) distributed as downloadable files and instructions or via GitHub. These tools are designed to work with any compatible AI provider — they are not specific to any single platform.

Data Processing

  • When you use our custom AI tools, your conversations are processed by the AI provider you choose
  • The privacy policy of the AI provider you choose governs how your conversations are handled
  • We do not have access to your conversations with the AI tool unless you choose to share them with us

Your Control

  • You can manage your conversation history through the account settings of the AI provider you choose
  • You control what information you share with the AI tool

Retention of Your Personal Data

The Company will retain your Personal Data only for as long as is necessary for the purposes set out in this Privacy Policy. We will retain and use your Personal Data to the extent necessary to comply with our legal obligations (for example, if we are required to retain your data to comply with applicable laws), resolve disputes, and enforce our legal agreements and policies.

The Company will also retain Usage Data for internal analysis purposes. Usage Data is generally retained for a shorter period of time, except when this data is used to strengthen the security or to improve the functionality of our Service, or we are legally obligated to retain this data for longer time periods.

Your information, including Personal Data, is processed at the Company's operating offices and in any other places where the parties involved in the processing are located.
