Asynchronous Coaching Services and Message Processing

For coaching clients using our asynchronous coaching services, we use messaging platforms and transcription tools to enhance service delivery. The specific platform is determined mutually with each client based on their preferences and security requirements.

What happens to your messages:

  • Your video, audio, or text messages may be automatically transcribed using the chosen platform's built-in transcription features

  • Messages are organized within the chosen platform for coaching continuity

  • Coaching records are maintained according to the retention policies of your chosen platform and our mutual agreement (typically ranging from immediate deletion to 4-week retention depending on platform and preference)

Platforms and Services:

Coaching communications occur through mutually agreed-upon secure messaging platforms, which may include:

  • Telegram

  • Signal

  • WhatsApp

  • Slack

  • Discord

  • Other secure messaging platforms as agreed upon

Each platform has its own privacy policy and data handling practices. We encourage you to review the privacy policy of your chosen platform.

Email Communications:

  • Automated system emails and notifications are sent via Mailgun (through FG Funnels platform) from addresses ending in @mg.fieldway.org

  • Some communications may be sent via Zoho Mail from addresses ending in @mail.fieldway.org

  • Personal replies and direct communications from Matthew Stublefield are sent via Proton Mail (ProtonMail AG, Switzerland) from @fieldway.org addresses

  • Review notification emails (when you submit reviews) are delivered to our Proton Mail address and processed according to Proton Mail's privacy and security practices

By using our coaching services, you consent to this AI-powered processing of your communications with the understanding that all coaching content receives enhanced confidentiality protection.

Important notes about coaching confidentiality:

  • Your coaching conversations remain strictly confidential and are not shared beyond what is necessary for service delivery through your chosen platform

  • Transcripts and records are maintained only within your chosen messaging platform

  • Message retention periods are agreed upon with each client and vary by platform (e.g., Signal messages may be set to delete after 4 weeks)

  • We implement security measures appropriate to each platform to protect your personal information during coaching interactions

  • Coaching content is never used in marketing materials or public testimonials

You can discuss and modify retention settings and platform choices at any time during your coaching engagement.

By using our coaching services, you consent to message processing through your chosen platform with the understanding that all coaching content receives enhanced confidentiality protection and is governed by both this Privacy Policy and the privacy policy of your selected platform.

We may use Personal Data for the following purposes:

  • To provide and maintain our Service, including to monitor the usage of our Service.

  • To manage Your Account: to manage your registration as a user of the Service. The Personal Data you provide can give you access to different functionalities of the Service that are available to you as a registered user.

  • For the performance of a contract: the development, compliance, and undertaking of the purchase contract for the products, items, or services you have purchased or of any other contract with us through the Service.

Public Profile Images:

If you grant permission for public display of your review, we may obtain your publicly available profile image from professional networking sites (such as LinkedIn) or avatar services (such as Gravatar).

  • These images are stored via our website platform (FG Funnels, which uses Google Cloud infrastructure)

  • Images are used only in connection with displaying your review

  • You may request removal of your image at any time

Data Storage and Processing:

  • All review data is stored in our CRM system (FG Funnels)

  • Review notification emails are processed through Proton Mail (ProtonMail AG, Switzerland)

  • Public reviews and images are stored via FG Funnels infrastructure on Google Cloud

How We Use Review Data:

  • Internal purposes: Product improvement, identifying trends, understanding customer satisfaction

  • Public display: Reviews with public permission may be displayed on sales pages, testimonial pages, social media, marketing materials, and advertisements (as detailed in our Terms & Conditions)

  • Communication: We may contact you for follow-up questions about your review or to request more detailed success stories

Review data is retained indefinitely unless you request deletion. You may request removal of your review from public display at any time, and we will comply within 30 days.

Fieldway Studio Community Forum

Fieldway Studio is our community forum platform built on FG Funnels. It includes both public discussion areas and private channels accessible only to specific course participants.

Data Collected for Forum Access:

  • Public forum access: First name, last name, email address

  • Private channel access (through course purchase): First name, last name, email address, company name (optional), billing address (for tax purposes)

All forum registration data is stored in FG Funnels CRM.

Forum Activity:

FG Funnels may track forum activity for gamification and engagement features (posts made, topics viewed, participation metrics).

This tracking is used to provide rewards, badges, and engagement features within the forum.

Forum posts are visible immediately without moderation, though we reserve the right to remove inappropriate content.

Forum Content and Confidentiality:

Forum discussions and posts are not used in marketing materials.

Content shared in private channels is visible only to members of that specific channel and the Company Public forum content is visible to all forum members.

Your forum posts remain associated with your account unless you request deletion.

Account Deletion and Forum Posts:

If you request account deletion, your forum posts will remain visible but will be anonymized (displayed as "Deleted User" with your profile picture removed).

You may request deletion of specific forum posts at any time.

Course access and forum access are linked - removing course access removes private channel access.

Data Retention:

Forum data is retained for as long as you maintain an active account.

After account deletion, data is handled according to FG Funnels' data retention policies.

You may request export of your forum content before requesting account deletion

Retention of Your Personal Data

The Company will retain your Personal Data only for as long as is necessary for the purposes set out in this Privacy Policy. We will retain and use your Personal Data to the extent necessary to comply with our legal obligations (for example, if we are required to retain your data to comply with applicable laws), resolve disputes, and enforce our legal agreements and policies.

The Company will also retain Usage Data for internal analysis purposes. Usage Data is generally retained for a shorter period of time, except when this data is used to strengthen the security or to improve the functionality of our Service, or we are legally obligated to retain this data for longer time periods.

Asynchronous Coaching Services:

For coaching clients, message processing occurs through your chosen secure messaging platform (Telegram, Signal, WhatsApp, Slack, Discord, or other mutually agreed-upon platforms).

Each platform has its own privacy policy and data handling practices.

We encourage you to review the privacy policy of your chosen platform as it governs how your coaching messages are processed and stored.

All service providers and platforms are expected to maintain appropriate security measures and use your data only for the purposes of delivering coaching services

Business Transactions

If the Company is involved in a merger, acquisition, or asset sale, your Personal Data may be transferred. We will provide notice before your Personal Data is transferred and becomes subject to a different Privacy Policy.

If you request deletion of your entire forum account, your posts will remain visible but will be anonymized (displayed as "Deleted User" with profile picture removed). This preserves conversation continuity for other forum members while removing your identifying information.

Coaching Data: Coaching message retention is governed by your chosen platform's policies and our mutual agreement. You may request changes to retention settings at any time.

Course Progress Data: You may request deletion of your course progress and completion data, though this may affect your access to materials or completion certificates.
